How to Cancel Your Merchant Account

Sometimes your payment processor just isn't working for you anymore — rates creep up, support disappears, or your business outgrows the service. Cancelling a merchant account is more involved than cancelling a subscription, and missteps can be expensive. Here's how to exit cleanly.

1. Check your contract for penalties and auto-renewal

Your agreement specifies a termination date after which you can leave without penalty — and most merchants don't know it. Worse, many contracts auto-renew for another one to three years if you miss the window. Find your contract end date before you do anything else, and diarize the notice period.

2. Contact your provider — and document everything

Cancellation usually goes through a retention or loyalty department, not regular support. When you call, verify your business details, state clearly that you want the account closed, and write down the reference number, the representative's name, and the date. Follow up in writing and keep copies — if a dispute arises later, that paper trail is your protection.

3. Return leased equipment promptly

If your terminals are leased, the provider will expect them back, and unreturned hardware fees are steep. Get return instructions in writing, ship with tracking, and keep the receipts.

4. Watch your final statements

Keep the linked bank account open until the last statement clears. Processors often bill final fees — monthly minimums, PCI fees, early termination charges — after the account closes, and you'll want to verify every line.

5. Line up your new processor first

Never cancel before your replacement is live, or you'll be unable to take card payments in between. Set up the new account, confirm everything works, then close the old one.
